What this notice covers

This notice explains how we handle personal information when you visit estuaryconnect.com or contact us about our services. Any handling of a client’s customer data as part of a project will be covered separately in the relevant service agreement.

Information you give us

Our enquiry form asks for your name, email address, the service you are interested in and your message. You can also provide your business or organisation name. We receive the information you choose to send by email or discuss with us by telephone. Please do not include passwords or sensitive personal information in an enquiry.

How the enquiry form works

The website emails your enquiry to us. The theme does not save a separate copy of the message in the WordPress database. A short-lived code derived from your IP address helps limit repeated submissions; the form’s rate-limit record expires after one minute. Enquiries are handled in email rather than a CRM.

Why we use your information

We use enquiry details to answer your questions and discuss the help you need. Where you ask us to take steps towards providing a service to you, we rely on taking steps at your request before entering a contract. For other enquiries, including enquiries on behalf of an organisation, we rely on our legitimate interest in responding to people who contact our business. We rely on our legitimate interest in keeping the website secure when preventing abusive submissions.

Who handles your information

IONOS provides our website hosting and email services and processes information needed to operate them. Enquiries are delivered to our IONOS-hosted mailbox. IONOS describes its web-hosting visitor data as anonymised on collection and retained for eight weeks, with no transfer of that visitor data outside the EU. This includes access times, requested pages, referring pages, browser and device details and an anonymised IP address. Its SiteAnalytics service uses anonymised information for visitor statistics and technical improvements without analytics cookies. We rely on our legitimate interest in operating a reliable, secure website and understanding its use. See IONOS’s hosting data information. These hosting statements do not describe the contents of our email correspondence. Email delivery also involves the sender’s and recipient’s email providers. Contact us for information about the processing arrangements relevant to your correspondence.

How long we keep enquiries

We delete enquiries that do not become client work within 12 months of the last meaningful contact. If information is needed for an ongoing complaint or legal matter, we keep only what is necessary until that matter is resolved and any applicable legal requirement has been met. If an enquiry becomes client work, we retain the relevant correspondence for the project and afterwards only as needed for accounting requirements, contractual obligations or handling claims. We assess retention by the purpose of the record and the applicable legal requirements.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict its use or receive it in a portable form. Some rights depend on the reason we hold the information.

You can object to processing based on legitimate interests, and you have an absolute right to object to the use of your information for direct marketing.

To make a request, email hello@estuaryconnect.com. We may need enough information to confirm your identity before releasing personal information. If processing relies on consent, you can withdraw that consent without affecting the lawfulness of earlier processing.

Complaints

Please contact us if you have concerns about your information. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator.

Cookies and other websites

Our cookie policy explains cookies and similar browser storage. Links to LinkedIn, Facebook and other websites take you to services with their own privacy notices.
